Best Pilates studio software: how to choose in 2026
There is no single best Pilates studio software. The right choice depends on your size, whether you need reformer spot selection, and how much of your revenue goes to card fees. This guide gives you the criteria first, then a fair shortlist by price band based on public pricing as of October 2026.

The short answer
For a single-location studio with 100 to 300 active clients, research of public pricing suggests three bands: roughly $30-100 per month for lean tools, $150-300 for mid-range platforms, and $300-500+ for premium systems that include spot selection and branded apps. A gap exists at the low end: reformer spot booking is usually only offered from around $300 upward.
Workout OS (our product) tries to fill that gap with spot booking and waitlists at $59 per month, but we are young and lack a marketplace, and our gym member app is still coming soon. We include ourselves on the list below and say where we fall short.
Criteria that matter for Pilates studios
- Reformer spot or bed selection and equipment capacity. Classes are limited by machines, not just room size. A system must know that a class has, say, 8 reformers.
- Waitlist with automatic promotion, so a cancellation fills itself without front-desk work.
- Packages, memberships and freezes, with a clear remaining-sessions count and expiry rules.
- Intro offers and trial classes that convert into packages.
- Payment fees, not just the subscription. A studio taking $20,000 a month in cards pays about $600 at 3%, which can exceed the software price.
- Contract terms: length, auto-renewal, notice period and what happens to your data when you leave.
- Messaging: reminders by email, SMS or app push (Workout OS: SMS and email today, member-app push coming soon), and whether staff review them or they send automatically.
- Branded app versus booking link. A native branded app is often an extra cost.
- Onboarding effort. Some premium systems report 5-8 weeks of onboarding.
A fair shortlist by price band
Prices are from vendors' public pages or, where marked, third-party sources, for one location with 100-300 active clients. They change; confirm on each vendor's site.
| Band | Examples | What to expect |
|---|---|---|
| Low: $30-100 / month | Zenamu, TeamUp, Punchpass, Workout OS (Studio $59) | Simple scheduling and payments. Zenamu, TeamUp and Punchpass: no reformer spot selection or branded app per the research. Workout OS adds spot booking and a waitlist |
| Mid: $150-300 / month | Pike13, StudioGrowth, WellnessLiving Business, Glofox | More automation (waitlists at Glofox and Pike13), marketing tools, branded apps often extra |
| Premium: $300-500+ / month | Walla, Mariana Tek, Mindbody Accelerate, Hapana | Spot selection, branded apps and multi-location. Mariana Tek reports 5-8 weeks onboarding; pricing mostly quote-based |
StudioGrowth and several prices above come from third-party sources. Treat them as indicative.
How the options differ
Mindbody (from about $79 per location, with higher tiers such as Accelerate reported at roughly $259-279) is broad and widely known, and per its own page takes a share of new-client first purchases made via its app. Glofox publishes European tiers from about EUR 220 and offers waitlist automation. Pike13 has flat pricing with unlimited staff from about $139 and a waitlist. Punchpass is flat from about $59 with no contract and Stripe payments. Walla and Mariana Tek are the names most often tied to equipment-aware spot selection at the top end.
Workout OS: Studio plan $59 per month for 6 instructors, with spot booking, waitlist auto-promotion, packages and ready-made reminders by SMS and email. No commission from us. Limits: no marketplace, no native member app for Studio, no advanced marketing suite, and online card payment is only an optional paid add-on through your own payment provider account.
How to run a fair trial
- Write down your real numbers: classes per week, reformers per class, average monthly card volume, number of active clients.
- Ask each vendor for the all-in monthly cost at those numbers, including card fees and any app fee.
- Book a test class end to end: client books a spot, cancels, the waitlist promotes someone, a package decrements.
- Ask about exit: contract length, notice period, export format and fees.
Frequently asked questions
What does Pilates studio software cost?
For one location with 100-300 active clients, public pricing suggests roughly $30-100 per month at the low end, $150-300 mid-range, and $300-500+ for premium systems, as of October 2026. Card processing fees come on top and can be larger than the software fee.
Do I need reformer spot selection?
If clients expect to choose a specific reformer or if equipment capacity limits your classes, yes. Many cheaper tools do not offer it. Among the options reviewed, spot selection is mostly found at roughly $300 and above, plus Workout OS on its $59 Studio plan.
Is a branded member app necessary?
Not always. Many studios use a booking link that works in a browser. Branded apps are often an extra monthly or one-time cost. Decide whether your clients really need one.
How do I avoid being locked in?
Check contract length, auto-renewal, notice period, and what data export includes and costs before you sign. Prefer monthly terms and a vendor that lets you export everything for free.
Is Workout OS the best option?
Not for everyone. It suits small studios that want flat pricing, spot booking and ready-made reminders. Larger operations, or studios that depend on a marketplace or native app, may be better served by other products.
