Workout Studio · reformer spot booking
Reformer spot booking software, built into your calendar.
Clients choose their own reformer from a numbered map. When a class is full, a waitlist fills cancelled spots by itself and a message is ready to tell people. No app to download.
Spot map
Every session has a map.
Each machine or mat position gets a number. Clients see what is free, take one and can swap if your rules allow. You can book or move people yourself from the session panel.
- One active booking per spot, enforced in the database
- Book a client in or move them to another spot
- Late cancellations free the spot and don't count as capacity

Waitlist
A cancellation fills itself.
When someone cancels, the next eligible person on the waitlist is booked in, takes the freed spot, and a confirmation message is ready for you to send. You do not have to chase anyone.
You set how close to the start time the waitlist stops promoting people, so nobody is booked in at the last minute.
Waitlist · Group reformer
- Mon 08:12
Class is full
8 of 8 spots taken. Two people join the waitlist.
- Wed 18:40
Someone cancels
Spot 5 is free again.
- Wed 18:40
Next person is booked in
The first eligible client on the waitlist gets spot 5 automatically.
- Wed 18:41
Message is ready to send
A draft is ready for staff to review and send: “You're in! Thursday 09:00, reformer 5.”
Capacity
Machines set the limit.
The calendar has one column per reformer, so capacity is the number of machines you have, not a number you type in. Group, duet and 1-to-1 sessions share the same view.

No app for clients
A booking link, sent by SMS or email.
You send a personal link. The client opens it in the browser, picks a session covered by their pack, chooses a spot and can cancel inside your window. It shows your studio's language and time zone.
What is reformer spot booking?
Reformer spot booking lets a client choose a specific, numbered machine or mat position when they book a class, instead of just reserving a place in the class. Workout Studio shows a spot map for each session.
Can two people book the same spot?
No. Only one active booking can hold a spot, and this is enforced in the database, so even two clients booking at the same moment cannot take the same one.
Can staff move a client to another spot?
Yes. From the session panel you can book a client into a spot or move them to another, for example when a machine is out of service.
How does the waitlist work?
When a session is full, clients can join the waitlist (or you can add them). When someone cancels, including late cancellation, the next eligible client is booked in automatically, takes the freed spot and a confirmation message is ready for staff to send.
Do clients need an app to choose a spot?
No. You send a personal booking link by SMS or email. The client opens it in the browser, chooses a session that their pack covers, picks a spot and can cancel inside your cancellation window.
Which plan includes it?
Every feature is in every plan, so it is available on the free plan too. Plans differ only by the number of clients and trainers.
Is it only for reformer pilates?
No. It suits anything with fixed positions: reformers, cadillacs, bikes or mat spots. Sessions without fixed positions can simply use capacity and a waitlist.
