Mindbody alternative for small gyms and studios
Mindbody is one of the best-known platforms in fitness and wellness. If you are an owner of a small gym or studio looking at alternatives, this page compares it fairly with Workout OS on the points owners most often ask about: price, contracts, payments, data and reformer booking.

Who should choose Mindbody, and who should choose Workout OS
Choose Mindbody if
- You run several locations or a large club and need a mature, broad platform.
- You value an established consumer app and its marketplace for finding new clients.
- You want Mindbody's higher-tier features such as reformer spot selection in its Accelerate plan and are comfortable with quote-based pricing.
Choose Workout OS if
- You are a single-location gym or a Pilates, reformer or PT studio that wants flat, published pricing.
- You do not want a commission on payments or a share of new-client purchases.
- You want monthly billing, one-click cancel and a free full data export.
- You want ready-made reminders and drafts by SMS and email from the same tool.
What Mindbody does well
Mindbody is positioned as a broad platform for studios and clubs, and the research describes it as covering classes, memberships and multiple locations. It also operates a consumer-facing app that can bring new clients to a studio, which is a genuine benefit for businesses that want discovery rather than only management software.
If you are a large operation, need a vendor with that depth, and have the team to configure it, Mindbody is a reasonable shortlist item. This page is not an argument that it is a poor product; it is an explanation of where smaller businesses sometimes find it a poor fit.
Where small studios look elsewhere
According to owner discussions summarised in the research we reviewed (reported, mostly secondary sources), the recurring themes are:
- Price increases during a contract and bills that grow with upgrades. Some reviewers claim very large rises; we could not verify specific percentages.
- A notice period of 30 days before cancellation, which Mindbody states on its own contracts page, and auto-renewal that owners say they notice late.
- A payment processor tied to the platform, with fees that apply on top of the subscription, and the new-client fee described above.
- Data export: Mindbody says additional fees can apply. A figure of $499 is repeated in forums, but it is not on Mindbody's own page, so treat it as reported only.
- The cost of reformer spot selection, which sits in higher-priced tiers across the market, including Mindbody's.
Check Mindbody's current pricing page and your own contract. Terms differ by plan, country and date of signing.
How Workout OS approaches it
Workout OS is a web-based management tool for gyms (Workout OS) and for PT, Pilates and reformer studios (Workout Studio). It runs in the browser, including on a phone, and clients can book through a link without installing an app.
We aim to remove the things owners most often complain about in this category: surprise price rises, commission on payments, hard-to-find cancellation and paid data export. Pricing is flat: studios pay $0, $24, $59 or $99 a month depending on the plan, and Studio Solo has unlimited clients. We do not take a cut of payments, you can cancel in one click effective at period end, and you can download all your data as a ZIP whenever you want.
Day to day, the features that matter most for studios are reformer spot booking, a waitlist that promotes the next person automatically, session packages with a remaining-sessions ledger, and ready-made reminders and drafts by reason, such as package ending or payment due, that staff review and send by SMS or email.
Honest limits: we are a young product. We have no consumer marketplace, no native member app for Studio (clients use the booking link in a browser), and no advanced marketing suite. Online card payment is only available as an optional paid add-on connecting the studio's own payment provider account.
Keeping members: what happens after the at-risk list
Many tools in this category can show which members or clients are lapsing, and many stop at that list. We have not verified exactly what Mindbody offers on its current plans, so ask them what happens after the list: who is told, with what reason, what the next step is, and whether the result is measured.
Workout OS closes that loop. Every night it compares each member's or client's activity with their own history using eight explainable rules (not an AI prediction), shows the reason with numbers such as weekly visits 3.1 to 0.5, and suggests an action: a programme review for the trainer, a neutral message draft that your staff edit and send personally, or a follow-up task. Fourteen and thirty days later it shows who came back, who is active again and who renewed, next to cases nobody followed up. Nothing is sent automatically, members never see a risk label, and it is included in every plan (Member success in the gym product, Client follow-up in Workout Studio).
It is a prompt for a human, not a guarantee: a small gym will see small numbers, and with fewer than 10 cases in a group we show counts rather than percentages.
Moving from Mindbody to Workout OS
Workout OS can import client data from Mindbody exports (and from Excel), and the import is free. Export your clients, memberships and class history from Mindbody, upload the file, check the mapping, and run a test week alongside your current system before you switch.
Whatever you choose, ask your current vendor in writing what the export includes, what it costs, and how long you have access after you cancel. See our step-by-step guide to switching.
Mindbody alternative: frequently asked questions
Is Workout OS a cheaper Mindbody alternative?
Our published prices are flat: Studio $0, $24, $59 or $99 per month and gym $0, $79 or $149. Mindbody lists an entry price of about $79 per location per month on mindbodyonline.com, with higher tiers quote-based or reported at roughly $259-279 by third parties. Total cost also depends on payment fees, add-ons and contract terms, so compare all of them for your own volume.
Can I export my data from Mindbody?
Mindbody states that additional fees may apply to data export but does not publish an amount. A $499 figure is reported by users and is unverified. Ask Mindbody in writing what the export contains and what it costs before you cancel.
How long is the Mindbody cancellation notice?
According to Mindbody's own contracts and cancellation page, 30 days' notice is required. Check your own agreement, as terms can differ.
Does Workout OS have a client marketplace like Mindbody?
No. We do not have a consumer marketplace or a native member app for Studio. Clients book through your own booking link in a browser. If discovery through a marketplace matters to you, Mindbody may suit you better.
Does Workout OS support reformer spot booking?
Yes. Clients can choose a reformer spot, and a waitlist promotes the next person automatically when a place opens. This is part of the Studio plan.
Can I take card payments abroad with Workout OS?
Not through us today. Online payment is an optional paid add-on that connects the studio's own payment provider account. Studios elsewhere record cash, bank-transfer and card-terminal payments in the app, or keep their existing processor outside Workout OS. The scheduling, packages and messaging side works either way.
