Reformer Pilates booking software: what to look for

Reformer classes are limited by machines, and clients often care which reformer they get. Generic class booking tools treat a class as a number of seats. This guide explains the features that make booking work for reformer studios and where they tend to appear in the market.

Why reformer studios need more than seat booking

A reformer class has a fixed number of machines, often arranged in a particular layout. Clients prefer certain positions, instructors need to see who is where, and a cancellation should free a specific reformer rather than just a seat.

Per our research of public pricing, equipment-aware spot or bed selection is mostly found in higher-priced tiers: Walla (from about $299-320), Mariana Tek (quote-based), WellnessLiving, and Mindbody Accelerate. Lower-priced tools such as Zenamu, TeamUp and Punchpass do not list it.

Features to look for

  • Spot or reformer selection: clients pick a reformer when they book; staff can move people.
  • Equipment capacity: the class limit follows the machines available in the room.
  • Waitlist with automatic promotion: when someone cancels, the next client is offered the spot or promoted and notified. Glofox and Pike13 are noted for automatic waitlists.
  • Intro offers: a discounted first class or short pack that converts into a package.
  • Packages and memberships: class credits, expiry dates, freezes, and a clear remaining-sessions count.
  • Late-cancel and no-show rules that you can set and that apply automatically.
  • Reminders: email, SMS or app push before a class (Workout OS: SMS and email today; member-app push coming soon).
  • A client booking link that works without installing an app.

How Workout OS handles it

On the Studio plan, clients can choose a reformer spot when they book through your booking link, and a waitlist promotes the next person automatically when a place opens. Packages track remaining sessions, and reminders and drafts are ready by reason across SMS and email, for staff to review and send.

What it lacks: a consumer marketplace and a native member app for Studio. Intro offers are on our roadmap rather than complete today, so check the current feature list during a demo.

Questions to ask in a demo

  • Show me a class with 8 reformers where one is out of service.
  • What happens when a client cancels two hours before class and there is a waitlist?
  • How do late cancellations affect a package?
  • What does the client see on their phone, and do they need an app?
  • What are all the fees on card payments?

Frequently asked questions

What is reformer spot booking?

It lets clients choose a specific reformer (or bed) when booking, and ties class capacity to the number of machines in the room, rather than treating the class as a generic number of seats.

Which software offers reformer spot selection?

According to the research, Walla, Mariana Tek, WellnessLiving and Mindbody Accelerate offer it at higher tiers, and Workout OS offers it on the $59 Studio plan. Check vendors for current features.

How does a waitlist work?

When a client cancels, the system offers or assigns the spot to the next person on the list automatically, and notifies them, so the front desk does not need to manage it.

Do clients need an app to book?

With Workout OS they use a booking link in their browser, with no app to install. Some platforms provide a native app, often at an extra cost.

Are intro offers supported?

Intro offers are being added to Workout OS and are not complete today. Ask for the current status in a demo.
