Gym management software pricing in 2026
Gym software prices range from free to several hundred dollars a month, and the subscription is often not the biggest cost. This guide shows typical price bands by gym size, the main pricing models, and a checklist of fees that tend to be missed. Figures come from public pricing pages and third-party summaries as of October 2026.

How vendors price
Per-member pricing is cheap when you start and rises as you grow, which is also when you can least afford surprises. Flat plans are easier to forecast.
- Per active member: Zen Planner (from $99 for up to 45 members), Gymdesk (from $75 for up to 50), Clubworx (free up to 20).
- Per location: Mindbody (from about $79), Virtuagym.
- Per staff user: Wodify, with reported figures around $79-179 per user and conflicting sources.
- Flat plan: Arbox, Kilo, EZFacility.
- Revenue or booking volume: Gymflow, Eversports.
Hidden fees checklist
Ask every vendor for a written all-in quote and go through this list:
- Card processing: percentage plus fixed fee, and whether you must use their processor. PushPress's free plan lists 4.99% plus $0.30; Arketa lists 3% plus Stripe fees.
- Marketplace or new-client fees: Mindbody states 20% of a new client's first app purchase, up to $30.
- Setup and onboarding: Mindbody reported $100-500; Perfect Gym and Eversports (EUR 99) list onboarding fees.
- Branded app: reported from $39 to $150 per month (Zen Planner +$39, GymMaster $150 plus $450 setup, Clubworx +$100), or $169 one-time at Trainerize.
- Add-ons: reporting, automation, API, marketing. PushPress Grow is reported at about +$329 per month.
- Hardware or door access: for example GymMaster's door add-on at about +$40. (Workout OS sells no hardware; a gym's existing door system can connect through our API and webhooks.)
- Contract: length, auto-renewal, and notice (Wodify: 12 months and 30 days' notice; Kilo: 1 year required).
- Price increases during a term, and what the contract says about them.
- Exit: data export fees and how long you have access after cancelling.

Where Workout OS sits
Workout OS for gyms is $0 (up to 30 active members, 1 branch, 2 staff), $79 (500 members, 1 branch, unlimited staff) and $149 (1,500 members, 3 branches), plus a custom plan for chains. All features are included in each plan (the API is read-only on the free plan). We take no payment commission, you can cancel in one click effective at period end, and exports are free.
That puts the gym plans in the lower half of the bands above. Trade-offs: we are a young product, our product is new and still building its track record, we have no marketplace and no advanced marketing suite, and online card payment is only an optional paid add-on through your own payment provider account.
A quick way to compare
- Add up: subscription + expected card fees + app + add-ons + onboarding.
- Divide by active members to get a monthly cost per member.
- Ask what the price will be in 12 and 24 months if you grow by 30%.
