SMS, email and push for gyms and studios: reminders and consent
Clients miss sessions and forget payments mostly because nobody reminded them at the right moment. This guide explains how gyms and studios use SMS, email and app push for class reminders, expiring packages and payment links, and the high-level consent points that apply. It is general information, not legal advice; check your local law.

What studios use reminders for
- Class reminders and confirmations.
- Waitlist offers: a spot opened, reply to confirm.
- Package running out and renewal prompts.
- Payment links or transfer details for unpaid balances.
- Follow-up to clients who have not visited for a while.
- Sharing a programme or schedule after a session.
SMS, email or app push: which channel when
Many businesses use more than one: a push or SMS for something urgent today, an email for anything that needs detail.
| Channel | Good for | Watch out for |
|---|---|---|
| SMS | Short, time-sensitive messages such as a class reminder or a payment link | Per-message cost and character limits |
| Longer messages, receipts, schedules and renewal summaries | Often read later; can land in spam folders | |
| App push (Workout OS member app: coming soon) | Instant nudges to members who already use a member app | Only reaches people who have the app installed and notifications on; with Workout OS, available once the member app launches |
The rules at a high level
These are the points to understand. Rules differ by country, so check the law that applies to you.
- Opt-in: you should have a client's permission before sending them marketing messages. Ask for it at sign-up with a clear, separate tick box, and keep a record of when and how it was given.
- Service versus marketing: operational messages (a class reminder, a receipt, a confirmation) are generally treated differently from promotions. Keep them separate and keep reminders short and useful.
- Opt-out: make it easy to stop messages, include clear unsubscribe wording in emails, and honour requests promptly.
- Sender identity: say who the message is from. A studio name and a way to reach you build trust.
- Reasonable hours: send reminders at times people expect them.
Data-protection and marketing-consent laws (such as GDPR in the EU and UK, CAN-SPAM and TCPA in the US, or KVKK in Turkey) also apply to how you collect, store and use phone numbers and email addresses. This is not legal advice; ask a qualified adviser about your situation.
A simple consent setup
- Add a separate, unticked checkbox on your sign-up or booking form: 'Send me class reminders by SMS or email'.
- Store the date, the wording and the contact details with the client record.
- Send a first message that identifies your studio and explains how to stop.
- Keep reminders short and useful, and send them at reasonable hours.
How Workout OS handles messaging
Reminders and drafts come ready-made for each reason, such as package ending, payment due or follow-up, across SMS and email (app push follows with the Workout OS member app, coming soon). Your staff review each message and send it, and every send is logged. There are no automatic bulk messages.
You are the sender of your messages, not us, and we do not claim any rights to your messages or contact lists.

No. Drafts are prepared for you, and your staff review and send them. There are no automatic bulk messages.
