Trainerize alternative for in-person personal trainers
Trainerize is a well-known tool for online coaching. If most of your clients train with you in person and buy session packs, the pricing model and feature focus can differ from what you need. This page compares both fairly.

Who should choose Trainerize, and who should choose Workout OS
Choose Trainerize if
- Your business is online coaching: remote programmes, check-ins and an in-app client experience.
- You want a branded app and are comfortable paying for it separately.
Choose Workout OS if
- Your clients train in person and buy session packages or credits.
- You want one price that does not rise with each client you add (Studio Solo is $24 per month with unlimited clients).
- You want bookings, remaining-sessions tracking, and SMS and email reminders in one place.
- You are moving from Trainerize and want a free import.
What Trainerize does well
Trainerize is a mature platform for remote coaching, with workout programming, habit tracking and a client app. If your work is mainly online, it addresses that directly. We do not try to be a remote-coaching tool, and our native client app experience for Studio is more limited.
Where in-person trainers feel the mismatch
The research we reviewed flags several recurring themes. These are reported, not verified by us:
- Per-client tiers penalise trainers who see many clients rarely. Most online-coaching tools price by number of clients.
- Session packs with expiry dates and remaining-session tracking are usually weak or an add-on in tools built for online coaching.
- Some users report that the app freezes and that building programmes is complicated.
- Payments and the branded app are separate costs.
How Workout OS approaches it
Workout OS is a web-based management tool for gyms (Workout OS) and for PT, Pilates and reformer studios (Workout Studio). It runs in the browser, including on a phone, and clients can book through a link without installing an app.
We aim to remove the things owners most often complain about in this category: surprise price rises, commission on payments, hard-to-find cancellation and paid data export. Pricing is flat: studios pay $0, $24, $59 or $99 a month depending on the plan, and Studio Solo has unlimited clients. We do not take a cut of payments, you can cancel in one click effective at period end, and you can download all your data as a ZIP whenever you want.
Day to day, the features that matter most for studios are reformer spot booking, a waitlist that promotes the next person automatically, session packages with a remaining-sessions ledger, and ready-made reminders and drafts by reason, such as package ending or payment due, that staff review and send by SMS or email.
Honest limits: we are a young product. We have no consumer marketplace, no native member app for Studio (clients use the booking link in a browser), and no advanced marketing suite. Online card payment is only available as an optional paid add-on connecting the studio's own payment provider account. Programming tools in Studio are simpler than a dedicated online-coaching platform.
Keeping members: what happens after the at-risk list
Many tools in this category can show which members or clients are lapsing, and many stop at that list. We have not verified exactly what Trainerize offers on its current plans, so ask them what happens after the list: who is told, with what reason, what the next step is, and whether the result is measured.
Workout OS closes that loop. Every night it compares each member's or client's activity with their own history using eight explainable rules (not an AI prediction), shows the reason with numbers such as weekly visits 3.1 to 0.5, and suggests an action: a programme review for the trainer, a neutral message draft that your staff edit and send personally, or a follow-up task. Fourteen and thirty days later it shows who came back, who is active again and who renewed, next to cases nobody followed up. Nothing is sent automatically, members never see a risk label, and it is included in every plan (Member success in the gym product, Client follow-up in Workout Studio).
It is a prompt for a human, not a guarantee: a small gym will see small numbers, and with fewer than 10 cases in a group we show counts rather than percentages.
Moving from Trainerize to Workout OS
Workout OS can import client data from Trainerize exports (and from Excel), and the import is free. Export your clients, memberships and class history from Trainerize, upload the file, check the mapping, and run a test week alongside your current system before you switch.
Whatever you choose, ask your current vendor in writing what the export includes, what it costs, and how long you have access after you cancel. See our step-by-step guide to switching.
Trainerize alternative: frequently asked questions
How much does Trainerize cost?
It is tiered by number of clients. Third-party figures put Pro with 5 clients at about $23 per month, 50 clients at about $135 and 500 clients at about $225. There is a free tier with 1 client and a 30-day trial. Check trainerize.com/pricing for current prices.
Can I import my Trainerize clients into Workout OS?
Yes. Workout OS has a free import from Trainerize exports, plus Mindbody, Glofox and Excel. Run a test week before you switch.
Is Workout OS good for online coaching?
Not primarily. It is built for in-person trainers and studios: bookings, session packages, credits and reminders. For remote programming and check-ins, a dedicated online-coaching tool may serve you better.
Is there a per-client fee in Workout OS?
No. Studio Solo is $24 per month with unlimited clients for one instructor. The free plan has a limit of 5 active clients.
Can I send reminders by SMS or email?
Yes. Reminders and drafts are ready-made by reason, such as package ending, payment due or follow-up, across SMS and email. Staff review and send them, and every send is logged. There are no automatic bulk messages.
